HvacOneSpot

Terms of Service

Last updated October 27, 2026

These terms are the agreement between you and HvacOneSpot ("we", "us") for using HvacOneSpot, the job, quote and billing app at crm.hvaconespot.com. By creating an account or using the app, you agree to them. If you're signing up for a business, you're agreeing for that business and you confirm you're allowed to.

What HvacOneSpot is

HvacOneSpot is a tool that helps heating and cooling shops keep track of customers, jobs, quotes, bills, payments and expenses. It is a record keeper and a helper. It doesn't do your work, set your prices, or give tax, legal or accounting advice. You decide what you charge, what you send your customers, and what you report on your taxes.

Some features use AI to read a photo (like an equipment nameplate or a business card) or to draft a work summary or a quote. AI can get things wrong. Check what it fills in before you rely on it or send it to a customer.

Your account and your team

  • The person who signs a business up is its owner. The owner can add admins and techs and decide what each can see.
  • The owner is responsible for everyone they add and for what happens under the business's logins.
  • Keep passwords to yourself, and take away access when someone leaves.
  • Give us true information when you sign up, and tell us if you think someone got into your account.
  • You must be at least 18 to use HvacOneSpot.

Your data stays yours

Everything you put in, including your customers, jobs, photos, quotes and bills, belongs to you. You give us permission to store it and process it only so we can run the app for you. We don't sell it and we don't use it for advertising. Our Privacy Policy explains the details.

You're responsible for having the right to put your customers' information in the app, and for what you send them through it. The owner can download a copy of all your data at any time from Settings (Download my data), or ask us for one by writing to support@hvaconespot.com.

Using it fairly

Don't use HvacOneSpot to:

  • break the law, or send spam or messages your customers didn't ask for;
  • get into another business's data or anyone else's account;
  • attack, overload, copy or take apart the app;
  • upload anything harmful, or anything you don't have the right to share.

We can suspend an account that does, and we'll tell you why when we can.

Billing, trials and cancelling

Prices and what each plan includes are shown when you sign up or change plans. If there's a free trial, you won't be charged until it ends, and you can cancel before then. Paid plans renew each billing period until you cancel. You can cancel at any time and keep using the app until the end of the period you paid for. We don't give refunds for part of a period unless the law requires it. If we change a price, we'll tell you before it applies to you.

The owner can close the account at any time from Settings. After you cancel or close it, we keep your business's data for 30 days in case you change your mind (you can still sign in to download it or reopen), then delete it. Copies in our backups are cleared as those backups roll over.

Keeping it running

We work to keep HvacOneSpot up and safe, but we can't promise it will never be down, slow, or have a bug. We may improve or change features over time. If we ever shut the service down, we'll give you at least 30 days' notice and a way to get your data out.

The legal limits

HvacOneSpot is provided "as is". To the extent the law allows, we don't make promises beyond the ones in these terms, and we aren't responsible for lost profits, lost jobs, or other indirect losses. If we are responsible for something, the most we'll owe is what you paid us in the 12 months before it happened. Some places don't allow these limits, so they may not all apply to you.

These terms are governed by the laws of the State of Indiana. Any dispute goes to the courts in Indiana, unless we agree otherwise.

Changes to these terms

If we change these terms in a way that matters, we'll tell account owners by email or in the app before the change takes effect. Keeping on using HvacOneSpot after that means you accept the new terms.
