HvacOneSpot

Privacy Policy

Last updated October 27, 2026

This explains what information HvacOneSpot keeps, why, and who else touches it. HvacOneSpot is run by HvacOneSpot ("we", "us"). The short version: we keep what you put in so the app can work, we don't sell it, and we don't use it for ads.

Two kinds of information

About you and your team. Names, email addresses or usernames, passwords (stored scrambled, never readable), roles, and your business's details like its name, address, phone, logo and the ways it takes payment.

About your customers. What your shop enters: customer names, contacts, phone numbers, email addresses, service addresses, notes, equipment, photos, jobs, quotes, signatures, bills and payments. Your business decides what goes in and is in charge of that information. We hold it and process it only on your business's behalf, to run the app.

How we use it

  • To run HvacOneSpot: show your records to your team, print your tickets, quotes and bills, and send the emails you ask it to send.
  • To keep accounts safe and keep each business's data separate from every other business.
  • To answer you when you write to us, and to tell owners about important changes.
  • To find and fix problems in the app.

We don't sell information, rent it out, or use it for advertising. We don't look at a business's records unless it's needed to fix a problem, you ask us to, or the law requires it.

The services that help run it

HvacOneSpot is built on a few outside services. Each one only gets what it needs to do its job:

  • Supabase stores the database, the logins and the photos.
  • Vercel hosts the website.
  • Resend delivers the emails the app sends, like quotes, bills and invites.
  • Anthropic powers the AI helpers. When you use one, the photo or text you give it is sent to Anthropic to read or draft. Anthropic doesn't use it to train its models.

When you open directions to a job, Google Maps receives that address. When we add card payments for subscriptions, the card processor will be listed here too.

Customers who get a quote link

When a shop sends a quote, its customer can open it from a link, look it over and sign it without an account. We keep the signature, name and time with the quote so the shop has a record of the approval. Questions from those customers about their information are best sent to the shop first; we will help the shop answer them.

Cookies

The app keeps you signed in using your browser's storage, and remembers a few small choices on your device, like a tip you've hidden. There are no advertising or tracking cookies.

Keeping it safe

Information travels over encrypted connections. Every business's records are walled off at the database, so one shop can never see another shop's data, and techs only see the jobs they're on. No system is perfect, but if we ever learn of a breach that affects your information, we'll tell you without delay.

How long we keep it

We keep your business's information while your account is open. After you cancel, we keep it for 30 days in case you change your mind, then delete it. Copies in our backups are cleared as those backups roll over. We may keep basic billing records longer if tax law requires it.

Your choices

  • An owner can change or remove customer records and team members at any time.
  • An owner can download all of the business's data, or close the account, from Settings. You can also ask us for a copy, or ask us to delete it, by writing to support@hvaconespot.com.
  • Anyone can ask what we hold about them. Write to us and we'll answer, or point you to the shop that entered it.

Children

HvacOneSpot is for businesses and isn't meant for anyone under 18.

Changes

If we change this policy in a way that matters, we'll tell account owners before the change takes effect, and update the date at the top.
